SES.HOSPEDAJES in a tourist accommodation: what you need to register and what you shouldn't leave for the day of arrival
You have a reservation for tomorrow. The guest has already paid, the entry code is ready, and it seems that check-in is sorted. But there is one part that does not depend on Airbnb or Booking: the communication of accommodation data.
What the system requires
The Ministry of the Interior confirms that the obligations of Royal Decree 933/2021 also apply to apartments, bungalows, and other tourist accommodations, whether the activity is carried out professionally or not.
To use the accommodation system, the establishment must register. After that, it can access via digital certificate or credentials and send, consult, or modify the communications made.
The operational error
The usual problem is not knowing that SES.HOSPEDAJES exists. It is setting up a process where the guest arrives, data is still missing, and someone starts asking for documentation when entry should already be resolved.
- The guest arrives.
- Data is still missing.
- Documentation starts to be requested.
- The accommodation has autonomous entry.
- No one knows for sure if the communication was completed.
Gatavia checklist before each arrival
- Complete data of the holder and the reservation.
- Required data from travelers collected.
- Identity checked according to the applicable procedure.
- Communication sent.
- Confirmation or internal record of the sending.
- Incident marked if information is missing.
Autonomous check-in does not eliminate administrative obligations. A smart lock solves the door; it does not solve the guest registration. The correct operation consists of obtaining the data before arrival and separating the administrative communication from the simple sending of the access code.
