How to Reconcile Airbnb and Booking Reservations with the Bank: Step-by-Step Guide
You have ten confirmed reservations, received seven transfers, and the bank shows an amount different from what you see on Airbnb or Booking. Before thinking that money is missing, you need to check what was reserved, what was settled, what was deducted, and on what date each payment actually came in.
Four Distinct Figures We Should Not Mix
The most common mistake is to add up the price of the reservations and directly compare it with the entries in the bank. These are different magnitudes. It is advisable to separate at least four:
- Value of the reservation: amount attributable to accommodation and its own supplements, with a breakdown of taxes and items collected on behalf of third parties when applicable.
- Platform settlement: amount that corresponds to the host after applying the commissions, withholdings, and adjustments indicated in the details of each transaction.
- Bank payment: money that actually enters the account, which may arrive late or group several reservations.
- Economic result: income and operating costs corresponding to the period, even if some are collected or paid on another day.
This separation is especially important in a management company: a transfer can affect several properties, and a settlement to the owner should not be confused with the company's own income.
What Documents to Download Before Starting
Prepare the list of reservations by accommodation, the details of settlements from each channel, the bank statement, and an expense record. For Airbnb, the Help Center explains how to download income reports and CSV files with raw data, service fees, adjustments, and net payments. Its income panel allows you to review pending and paid transactions.
On Booking.com, check the financial reports and payment conditions for your establishment in the extranet. Not all accommodations charge the same way: distinguish whether the guest pays at the accommodation, whether the platform manages the payment, or whether there is a settlement by transfer. Also confirm the commission invoices and any separate charges.
How to Reconcile in Six Steps
- Assign a unique key to each reservation: channel, confirmation code, property, check-in, check-out, status, and currency. Do not use just the guest's name.
- Check the final status: confirmed, enjoyed, modified, canceled, or no-show. A canceled reservation should not be counted as an actual stay; however, check if it generates any charge or penalty.
- Break down the concepts: nights, cleaning, supplements, taxes, commissions, and adjustments. Respect the base on which each commission is applied; do not use a universal percentage.
- Calculate the expected net from each settlement: amount in favor of the host minus applicable discounts and refunds.
- Relate the settlement to the bank: date, amount, reference, and destination account. A transfer may correspond to several reservations; a reservation may generate several movements.
- Keep differences visible: pending payments, commissions to review, unidentified adjustments, and items in another currency. Do not eliminate them to make the total artificially match.
Example of Reconciliation: €1,160 Reserved and €986 Deposited
Imagine two stays. The amounts and commissions in the following example are hypothetical: they serve to show the mechanics, not to describe a general rate for Airbnb or Booking.
| Concept | Reservation A | Reservation B | Total |
|---|---|---|---|
| Nights and own supplements | €620 | €540 | €1,160 |
| Channel commission (example) | −€93 | −€81 | −€174 |
| Other adjustments | €0 | €0 | €0 |
| Net we expect to collect | €527 | €459 | €986 |
| Transfer confirmed in bank | €527 | €459 | €986 |
| Difference pending justification | €0 | €0 | €0 |
In this case, the bank payments match the settlements. But €986 is not the profit from the two reservations. If, for example, there were €120 for cleaning and €50 for supplies and consumables directly attributable, there would be €816 left before distributing fixed costs, maintenance, management, financing, and applicable taxes. You should also not duplicate as an expense a commission that we have already deducted from the payment when calculating cash flow.
Why Reconciliation May Not Match Even If No Money Is Missing
A Transfer Groups Several Stays
Airbnb indicates that payments from different accommodations or reservations can be grouped. Therefore, look for the reference of the settlement and its internal lines before assigning the amount to a single reservation. See official explanation about the income panel.
The Stay Date and Payment Date Are Different
A reservation may arrive in October and be charged in November, or charged in several installments. Reconciling the October bank statement only with reservations that ended in October will cause temporary differences. Record stay, settlement, and bank value separately.
There Has Been a Cancellation or Modification
Refunds, penalties, and adjustments can reduce a future payment. Always note which reservation and circumstance the adjustment corresponds to; do not automatically confuse it with a new commission.
The Platform and Bank Use Different Currencies
If the transfer includes currency conversion, separate the original amount, exchange rate, bank fees, and exchange difference. The total in euros may not exactly match the amount in the reservation currency.
The Platform Payment Is Not the Owner's Settlement
In a management company, clearly distinguish who invoices the stay, who charges the guest, and what amounts belong to the owner or the company. The management agreement determines the distribution; an amount received in the management company's account does not by itself mean it is its own income.
Monthly Closing Checklist for Owners and Managers
- Reservations for the month classified by stay date and by channel.
- Cancellations, modifications, and no-shows reviewed one by one.
- Airbnb and Booking commissions reconciled with their supporting documents.
- Bank transfers linked to one or several settlements.
- Pending payments and identified differences, with date and responsible party.
- Cleaning, supplies, and maintenance expenses recorded separately.
- Results by property calculated without confusing cash flow, billing, and profit.

Frequently Asked Questions
Why does Airbnb show more income than what arrives in the bank?
Because its report may show gross income, while the net payment reflects discounts such as service fees, adjustments, or distributions to co-hosts. There may also be date differences or grouped payments.
Should canceled reservations appear in the report?
Yes, to be able to track them. They should appear with their status and the actual economic effect, even if the stay did not occur.
Is a reservation paid by Booking necessarily a bank income from Booking?
No. It depends on the payment model of the establishment and who processes the payment. First, check the contract, the extranet, the commissions, and the statement of the receiving account.
If the bank matches, do I know how much I earn?
No. You have confirmed the cash movements, but operating costs, investments, tax obligations, and applicable accounting criteria are still missing.
